This Flow will send survey emails after the status of Cases is set to Closed. If you want to prevent the over-surveying of survey recipients, please follow the instructions in this knowledge article.

First, create an Email Alert as follows. This Email Alert has been designed to send a specific survey template to the Case Contact's email address. You can configure the 'From' address of the survey email by selecting an Org-Wide Address for the From email address.

Then, create a new Record-Triggered Flow.

The following actions occur when this Flow fires:

• A survey Email is sent to Case Contact.
• The Survey Sent field on Case is populated to note on the case that a survey has been sent.

Along with checking to see if the case is closed, this Flow will also check the following:

• Can the Case Number be divided by 2 with no remainder?
• Has a survey already been sent?
• Is the Owner of the Case a User (and not a Queue)?
• Is Today the Closed Date?

• Survey Sent field on Case is populated. 

When survey records are pre-created through the package, the custom Flow to send survey emails must be created on the Simple Survey object instead of the Case object. 

This Flow will send survey emails after the status of the pre-created survey records is set to "Pending."

First, create an Email Alert on the Simple Survey object, linking to the email template of the survey you want to send.

1) Navigate to Salesforce Setup | Email Alerts | New

2) Fill out the description and unique name. 

3) For the object, select Simple Survey.

4) Select the appropriate email template for the survey program you want to send.

5) For Recipient Type, select Related Contact and move Related Contact: Contact to the list of selected recipients.

6) Specify the From Email Address and click save. The Email Alert should look as follows:

Then, create a new Flow that will send the survey emails.

1) Navigate to Salesforce Setup | Flows and click "New Flow"

2) Select "Start From Scratch"

3) Select "Record-Triggered Flow" and then click "Create"

4) Configure the start element:

• Object: Simple Survey
• Trigger the Flow When: A record is created
• Condition Requirements: All Conditions Are Met (AND)
• Field: Status
• Operator: Equals
• Value: Pending
• Optimize the Flow for: Actions and Related Records

5) Add a "Send Email Alert" element to the Flow and select the Email Alert created above. 

• Label: Send survey email to survey contact
• API Name: Send_survey_email_to_survey_contact
• Description: Send the survey email to the survey contact based on the field assignments of the program.
• Record ID: Triggering simplesurvey__Survey__c > Record ID

6) Save and Activate your Flow.

Note: The Flow above covers the scenario of only 1 survey program in the Org. If you are configuring this same Flow for more than 1 survey program, add a decision element based on your existing programs' Record Types with related Email Alerts for each.
