Simple Survey comes packaged with 3 permission sets that should be assigned to users in conjunction with the Simple Survey licenses, as follows:

 

Simple Survey Site Guest User Permission Set: 

The Simple Survey Site Guest User is a dedicated user that acts as the link between respondents and the Simple Survey Landing Page. It needs 1 dedicated Simple Survey license.

• No additional users need to be assigned this permission set; it’s exclusive to the Guest User.
• This permission set includes access to Create and Read the Survey object and all packaged fields.
• Without a license and the Simple Survey Site Guest User Permission Set correctly assigned, the Simple Survey Landing Page may break and result in an error.

 

Simple Survey Administrator Permission Set:

This permission set opens up access to the Setup Wizard, Survey Builder, and Simple Survey Insights for reporting, and should be assigned along with a license to the users who will:

• Configure the application through the setup wizard
• Build, edit, and maintain survey programs through the Survey Builder
• View and analyze survey data

If the permissions included with this permission set are not enough, and errors are seen by the user in the Survey Builder, they will need System Administrator permissions in the Org that include the following permissions. These are needed to create the Survey Record Type, Page Layout, and Fields, which happen when creating/editing programs.

• "Modify Metadata Through Metadata API Functions", "API Enabled", "Customize Application": needed to create the Survey Record Type, Page Layout, and Fields.
• "Manage Profiles and Permission Sets": needed for page layout assignment when creating the record type and page layout, and updating profile field-level security for new fields added to the Survey object via Survey Builder.
• Note: these permissions have the following prerequisites:
  • Manage Custom Permissions
  • Manage Translation
  • View Setup and Configuration
  • View Roles and Hierarchy 

The Survey Builder also requires that the External Client App be configured in the setup wizard. The following permissions are needed to properly configure the External Client App and to access the builder:

• Customize Application
• Manage Certificates
• Modify Metadata Through Metadata API Functions

To create survey programs, users need access to the following objects:

• Simple Survey
• Simple Survey Configuration (CRUD permissions)
• The object used to create the survey (Case, Opportunity, Event, etc.)

If your Organization has a private sharing model, this permission set might not be enough. For this scenario, users would only be able to edit surveys that are directly shared with them, or if they have the "View All Surveys" permission added.

 

Simple Survey Read-Only Permission Set:

This permission set includes Read access to the Survey object and all packaged fields. It should be assigned to users who the surveys are about. For example: Case Owners, Opportunity Owners, Event Owners

To streamline the implementation process and license assignment of Simple Survey, Vicasso has added a feature that automatically assigns licenses to users as needed. For more information about license planning, please refer to this knowledge article.

 
Note: If testing in a Sandbox, license assignment is not required. All users are assigned a license to Simple Survey by default. However, the permission sets for both the Simple Survey Site Guest User and end users still need to be assigned accordingly.
