Step 1. Make Copy of Email Template and Create Email Alert

Make a copy of the email template you created in the survey builder to prevent accidentally overwriting it. Create an email alert (old school workflow email alerts) with the template and recipient(s).

 

Step 2. Update Email Template Links

Edit the email template you cloned and selected in your Email Alert. It may be easiest to select all of the code and copy it to a text editor where you can find and replace. Find "RecordTypeId" -- you should find 2 instances for every answer in the email template. If you are using NPS as your initial question, you should find 22 instances in the email template. In each instance replace everything between the question mark "?" and the ampersand "&" before the score with

id={!simplesurvey__Survey__c.simplesurvey__SUID__c}

Note that this merge field is selectable using the field picker pictured below. It is important to keep the ? and &

 

It should look like this, with 2 instances for every clickable answer in your email.

Step 3. Create a survey record and send an email using a record triggered flow

In this example, we are surveying from Case and creating a survey went a case's status goes from open to closed. Tip: "IsClosed" is a special field on Case and Opportunity that does not evaluate correctly when using Debug in Flow Builder, but it does evaluate correctly when activated and running on real data.

Important: Set When to Run to "Only when a record is updated to meet the condition requirements" to prevent duplicates from subsequent updates.

 

B. Create an Assignment For each value on the triggering record add a variable and map the value.

 

C. Create a survey record.

1. Map the variables for [Case] values to the respective Simple Survey fields
2. Set the RecordTypeId. This can be found on the final step in the Survey Builder in the test URL.
3. Store Simple Survey ID in Variable: In the Search variables... box, click New Resource, choose Variable, specify SurveyID for API Name, and Text for Data Type.

D. Send Email

Save and Activate the flow.
