After your survey programs have been defined, it's time to build them through 4 easy steps from the Survey Builder. Optionally, you may also import an existing Survey Program from another Org. Please keep reading for more information.
From the App Launcher menu, type Simple Survey and click on the Survey Builder to open it.
Create:
First, give your survey program a name, and then select the survey type from the list. Check this knowledge article for more information about the different types of surveys available with Simple Survey and how to make your decision.
Please note that the Wong-Baker Scale requires you to have a Wong-Baker license. If that is the case, please open a support case by emailing simplesurvey@vicasso.com so that we can enable it from our end.
Once the ‘Create’ button is clicked, Simple Survey automatically creates a Page Layout and a Record Type to be associated with the new Survey Program, which will have the same name. Both the Page Layout and Record Type are also assigned to the profile of the user that created it, most likely a System Administrator.
Importing a Survey Program:
Starting in version 4.39 of Simple Survey, surveys can be exported from an originating Salesforce Org (Sandbox or Production) and imported into another Org (Sandbox or Production).
To import a survey, use the "Create New Program from Import" tile in the main screen of the Survey Builder. The import process will begin shortly after.
As a first step, review the Survey Name. If a name was not specified in the initial Survey Builder screen, the same survey name as it was exported from the originating Org will be used. You may keep or update the name, as long as it's not duplicated. Once the survey name makes sense, click 'Import' to proceed.
The deployment of the survey will begin, and it may take several minutes to complete.
Please note that if there are naming conflicts for fields, global value sets, email templates, survey themes, or other configuration records, you will be prompted to resolve them by overwriting or giving them new names.
Once the page stops loading, you will be presented with the option to import another survey or continue to the newly imported survey program for review.
If you choose to continue to survey, you will proceed to the builder to go over all of the steps of building a survey: Configure Survey Object, Add Questions & Branding, Thank You & Redirect Settings, and Delivery & Deployment Settings.
Select Existing:
Each tile corresponds to an existing survey program in the org, and contains key information about it, such as the name, rating scale, triggering object, when the most recent response was received, and who last modified it. The warning section displays messages alerting you to programs in Test Mode, incomplete configurations, or the need for a new email template, among others.
To edit programs, click the "Edit" button. Additional actions, such as deactivating/activating programs or enabling/disabling test mode, can be performed by clicking the drop-down menu.
A program should be put in "Test Mode" if it's still pending approval from your internal business teams and not yet ready for go-live. All responses received in this mode will be marked as test data and can be excluded from your reports, ensuring that your data doesn't get skewed.
Deactivating a program moves it to the "Inactive Surveys" tab, where it can be deleted. If respondents attempt to take a survey that has been deactivated, they will receive a message on the landing page stating, "Sorry, the survey you are trying to take is no longer active." The same principle applies to survey programs that are set to expire on a specific date and time.
